A regular meeting of the HPEP Board of Directors was held at Midtown Bar & Grill on June 16, 2014. The meeting was called to order at 7:08 pm by Lord_MaXXimus.

SIG & Officer Reports:
Alt Relationship SIG – 24 attendees at last meeting. Topic was “Are You w/ the Right Partner.”
BIG/littles SIG – 2 meetings in June; 8 attendees at munch; approx. 8 attendees at Wave Pool Field Trip
D/s SIG – Motion from HerPrecious to remove D/s SIG as an HPEP SIG due no reponse/communication from leaders.

Treasurer’s Report
DM Report – no report/no head DM

Agenda Items:
1. Moving of the treasury funds, PO Box, & DBA
Discussion and clarifications were made about previous year financial records.
A New Cash Counting Worksheet was submitted to Board to review & for Treasurer to use when dealing with cash events.
Receipts will be required from DrSam ehn payments are received for venue rental.
Lord_MaXXimus to get a new PO Box & switch over DBA

2. HEAT Contract
Still being looked into, discussions have not been taken place yet with venue.
Possible new venues being persued.
ToyMakers offered the board the option of making furniture, if needed.

3. HPEP SIG Attendance Records
Post was made online requesting all SIG leaders to turn-in sign-in sheets to SIG Coordinator for attendance records in order for their group to be official HPEP functions. Has received positive feedback overall.

4. Party Planning
Sat June 28 “Post-Pride Celebration” @ HEAT
Budget for Food/Decor: $100-150
Working door: Cynnister/CindiLou
Food: TBD, discussed possible catering option
DMs: TBD

5. New Head DM
Job Duties, as presented by Kinky_Cajun, oversee & coordinate DM coverage; report to board; train new DMs
Lead DM Job Duties are to oversee DM at event
Motion from Interim Head DM for July Party only to be Kinky_Cajun.
Vote: 5 in favor, 2 opposed, 0 abstained

6. Potential New Meeting Place
Still being looked into.

7. Other
Alexis presented board with information on different group structions (i.e. 501c3 Non-Profit, Not For Profit.) HPEP doesn’t currently qualify to be tax exempt. HPEP is currently setup as a Non-Profit Association.

Next General Membership Meeting will be held in July.
The board heard comments from TXlady4u related to ByLaw Revisions, particulary the Financials. This will be added the next meeting agenda.

@cindyloowho – per the bylaws the secretary must

5.2.3 Shall maintain the minutes of all meetings and post said minutes within two (2) weeks via the HPEP electronic forum.

I would imagine they would be posted by the 24th.

Could you please add that I turned in the receipt at the meeting for the charity donation to Bering Omega Community services from the last party of the 2013-2014 term. The amount was $551.
